Ensure proper control, management, distribution, and safeguarding of all project and organizational documents. Maintain accurate documentation records, ensure compliance with document control procedures, and support departments by providing timely access to updated and approved documents.Key Responsibilities:Receive, review, register, and archive all incoming and outgoing documents according to established procedures.Maintain and update the document control system/database; ensure proper indexing and tracking of documents.Ensure correct versioning, proper labeling, and distribution of revised documents to relevant stakeholders.Ensure documentation complies with approved templates, standards, and organizational policies.Distribute documents to concerned parties and ensure acknowledgment of critical documentation.Maintain accurate logs, registers, and tracking sheets for easy retrieval and audit readiness.Support cross-functional teams by providing required documents and assisting with documentation clarification.Prepare documentation required for internal/external audits, compliance reviews, and quality inspections.Retrieve requested documents efficiently and ensure timely submission to stakeholders.Maintain and update organizational document templates and formats.Assist employees in using the document control system and following document control processes.Recommend enhancements to documentation processes, workflows, and system efficiency. Bachelor’s degree in Business Administration, or any related fields.1–3 years of experience in documentation control or related field, Preferred in Railway, Heavy, Maintenance or Construction industry. Strong knowledge of document control procedures and quality standards.High attention to detail and accuracy.Strong organizational and time-management skills.Ability to maintain confidentiality and data security.Proficiency in MS Office, document management systems, and file archiving tools.Good communication and coordination skills.
