The Export Operations Specialist plays a crucial role in ensuring the efficient and accurate shipment of food and beverage products to international markets. This position is responsible for managing export processes, from initial order receipt to final delivery, while complying with regulatory and quality standards. The ideal candidate will be detail-oriented and possess strong logistical expertise within the food & beverage sector.RESPONSIBILITIESReceive and process export orders independently, ensuring accuracy of product codes, quantities, pricing, and customer details.Enter orders into the ERP system and confirm order acknowledgments to customers.Coordinate with supply chain and planning teams on order fulfillment timelines and availability.Track order status and provide regular updates to the sales team and customers.Prepare and verify all export documents independently, including commercial invoices, packing lists, certificates of origin, EUR1 certificates, bills of lading, and health certificates.Ensure documents comply with letter of credit (LC) terms, customer requirements, and destination country regulations.Coordinate with banks for document presentation when required.Maintain organized and up-to-date files for all export shipments.Coordinate with freight forwarders for container bookings, documentation, and shipment tracking.Liaise with shipping lines and transporters to ensure timely availability of reefer containers.Monitor shipment tracking and proactively address any delays or issues.Maintain shipment trackers and update logistics MIS with accurate data.Serve as the primary operational contact for customer inquiries regarding order status and shipping information.Resolve order-related discrepancies and issues in coordination with sales and logistics teams.Provide professional and timely communication to customers.Prepare regular reports on order status, shipments, and operational metrics as required.Maintain accurate records for audit and traceability purposes.Identify opportunities to streamline export operations and improve efficiency.Contribute to the development of standard operating procedures (SOPs)REQUIREMENTSBachelor's degree in Business Administration, Logistics, Supply Chain Management, or related field.3–5 years of experience in export operations, freight forwarding, or logistics coordination.Experience in frozen food or FMCG exports is preferred.Hands-on experience with export documentation and LC requirementsStrong knowledge of export documentation, incoterms, and international shipping practices.Familiarity with cold chain logistics and reefer container requirements.Proficiency in ERP systems (Oracle preferred) and MS Excel.Excellent organizational and communication skills.Attention to detail and accuracy.
