Virtual Assistant – Maintenance Coordinator (Vendor Scheduler) | Property ManagementLocation: RemoteType: Full-Time Virtual AssistantOverviewWe are hiring a Maintenance Coordinator (Vendor Scheduler) to manage maintenance scheduling, vendor coordination, and repair workflows across multiple properties. This role requires strong judgment, excellent organization, and native-level conversational English for professional communication with owners, vendors, and occasionally guests.Key ResponsibilitiesTriage maintenance requests and prioritize based on urgency and guest impactSchedule and coordinate vendors (HVAC, plumbing, electrical, handyman, deep cleaning, etc.)Communicate clearly with vendors regarding job scope, access, timelines, and pricingProvide professional updates to property owners/clients and obtain approvals when requiredCoordinate with guests for troubleshooting and scheduling access windows when neededTrack maintenance tasks end-to-end (open → scheduled → in progress → completed)Maintain an organized vendor database (rates, service areas, response times, performance notes)Follow up on late or incomplete work and document outcomes thoroughlyEscalate risks early and propose solutions or backup plansRequired Qualifications (Must-Have)Proven experience coordinating maintenance for a property management or short-term rental companyC2-level English proficiency (fluent, native-level speaking and writing)Highly professional, clear, and conversational communication styleStrong organizational skills with the ability to manage multiple work orders simultaneouslyReliable internet, quiet workspace, and confidence handling phone callsPreferred QualificationsExperience with Airbnb, VRBO, or Booking.com operational workflowsFamiliarity with task/ticket systems and SOP-driven operationsVendor management experience (bench-building, backups, and performance tracking)
