Office Coordination Head

We are seeking an experienced Office Coordination Section Head to lead the coordination function at the centre of the group's head office. The role owns the coordination of meetings, information, and administrative services, sets the standard for secretarial support, and provides the service through which people across the organisation reach the right owners and information. Its purpose is to make administrative coordination an active enabler — one that removes friction and keeps work moving across functions — rather than a passive support function. The role suits a capable coordination or office-management leader who has run coordination as a managed service and led a sizeable team serving a demanding, multi-function organisation.ResponsibilitiesCoordination of the office's operations. Coordinate the office's meetings, information flow, and administrative services to defined standards — ensuring meeting decisions and their actions are tracked to completion, information reaches those who need it, and administrative and secretarial support run reliably rather than by improvisation.Organisational navigation. Operate the service that directs managers and colleagues to the owners and information they need across the organisation, so that finding the right point of contact is quick and dependable.Team leadership. Lead, develop, and hold to standard a large team of coordinators serving many different functions, ensuring a consistent and reliable service regardless of the function supported. Education. A degree in business administration, management, or a related field.Experience. Eight to ten or more years in executive-office, organisational, or administrative coordination, including a demonstrated record of running coordination as a managed service governed by defined standards and service levels. Substantial experience leading a large coordination or administrative team, ideally one serving several functions or business areas concurrently, is essential.Coordination and service discipline. A proven ability to establish reliable administrative services from ad-hoc arrangements — setting standards, measuring performance against them, and sustaining them under pressure.Digital fluency. Confident, practical use of enterprise productivity and collaboration tools — Microsoft 365, SharePoint, and meeting, task, and information-management applications — with the aptitude to adopt new tools quickly and drive their use across the team. Coordination in this role is delivered increasingly through digital platforms, and the standard is set by someone comfortable running the function on them.Leadership. A record of leading and developing a sizeable team and securing consistent performance from it.Stakeholder engagement. The ability to work effectively across all levels and functions of a large organisation, from site teams to senior leadership, with sound judgment in balancing competing demands and the discretion an executive office requires.Sector familiarity. Experience in a large multi-site operational business — in construction, engineering, or a comparable sector — is an advantage.
