Executive & Administrative Support:Manage the Dean's calendar, schedule meetings, appointments, and travel arrangements. Prepare and review correspondence, reports, memos, and official communications on behalf of the Dean.Handle confidential information with the utmost discretion and professionalism.Maintain accurate records, filing systems, and documentation for the Dean's office.Coordinate and follow up on action items arising from meetings and decisions.Office Operations & Coordination:Oversee the day-to-day administrative operations of the Student Affairs office. Liaise with academic departments, administrative units, and external stakeholders on matters related to student affairs. Manage incoming and outgoing communications including emails, calls, and official correspondence.Ensure the office is well-organized, adequately stocked, and operates efficiently.Student Affairs Support:Serve as the first point of contact for students visiting or contacting the Dean's office.Assist in coordinating student-facing events, orientation programs, disciplinary hearings, and committee meetings.Maintain student affairs records, databases, and tracking systems in compliance with data protection policies.Support the preparation of student affairs reports, presentations, and proposals.Meeting & Event Management:Organize and coordinate meetings, committees, and forums chaired or attended by the Dean.Prepare agendas, take minutes, and circulate action points in a timely manner.Coordinate logistics for student affairs events including open days, graduation ceremonies, and student council meetings.Stakeholder & Communication Management:Act as the liaison between the Dean's office and university departments, student bodies, and external partnersDraft and edit professional communications in both English and ArabicHandle sensitive student matters with empathy, confidentiality, and professionalism Manage the Dean's social and professional engagements when required.Compliance & Reporting :Ensure all office activities comply with institutional policies, governance frameworks, and local regulations Prepare periodic reports and summaries for the Dean on office operations and student affairs activitiesSupport audit, accreditation, and quality assurance processes as needed. Bachelor's degree in Business Administration, Public Administration, Education Management, or a related field. 3–7 years of experience in an executive assistant, office manager, or senior administrative role — preferably within a higher education or international institution.Prior experience supporting a senior academic or executive leader is a strong advantageFamiliarity with student affairs processes, academic governance, or university operations is a plus.
