Role SummaryThis role is responsible for managing the end-to-end procurement process to ensure the timely acquisition of quality goods and services at the best possible cost. This role involves supplier evaluation and relationship management, negotiation of terms, order processing, and coordination with logistics to facilitate smooth delivery. The Purchasing Specialist collaborates closely with internal teams to meet operational needs while maintaining compliance with company policies and contributing to cost-saving initiatives.Main Responsibilities (including but not limited to)1. Supplier Management· Identify and evaluate potential suppliers to ensure quality, reliability, and cost-effectiveness.· Maintain and develop good relationships with existing suppliers.· Negotiate terms, pricing, and contracts with suppliers to secure favorable agreements.· Monitor supplier performance and resolve issues related to delivery, quality, or pricing.2. Procurement Process· Process purchase requisitions and create purchase orders accurately and timely.· Ensure compliance with company procurement policies and procedures.· Track purchase orders and ensure timely delivery of materials or services.· Coordinate with internal departments to understand purchasing needs and specifications.3. Inventory & Cost Control· Collaborate with inventory control and warehouse teams to maintain optimal stock levels.· Analyze market trends and pricing to support cost-saving initiatives.· Review and reconcile invoices, shipping documents, and payment authorizations.4. Documentation & Reporting· Maintain accurate procurement records and documentation for audits and compliance.· Prepare regular reports on purchasing activities, supplier performance, and cost analysis.· Support budget planning by forecasting procurement needs and expenses.5. Compliance & Continuous Improvement· Ensure purchasing activities comply with legal, ethical, and regulatory standards.· Continuously evaluate and improve procurement processes for efficiency and control.· Support sustainability initiatives by prioritizing eco-friendly and socially responsible suppliers. Education & Experience:· Education: Bachelor’s degree is required. Equivalent practical experience in logistics operations may be considered.· Work Experience: 1-3 years of professional experience in Procurement.Skills:· Solid understanding of procurement, logistics, and supply chain processes to ensure timely and cost-effective purchasing.· Experience using e-procurement systems and platforms for purchase order management and supplier communication.· Ability to coordinate and monitor the timely delivery of purchased goods, including shipment preparation and follow-up.· Competent in managing relationships with suppliers, delivery partners, and third-party logistics providers.· Proficiency with basic computer programs, especially Microsoft Excel, for data analysis, procurement tracking, and reporting.Personal Attributes:· Detail-oriented, ensuring accuracy and completeness in purchase orders, supplier data, and contract details to prevent costly errors.· Proactive, anticipating supply chain disruptions or procurement challenges and taking timely action to mitigate risks.· Highly organized, capable of managing multiple procurement requests, vendor communications, and delivery schedules efficiently.· Strong communication skills, able to clearly and effectively coordinate with internal departments, suppliers, and logistics partners.· Collaborative, working well with cross-functional teams such as finance, inventory, and operations to ensure smooth purchasing processes.· Resilient, maintaining composure and productivity during high-pressure periods and tight procurement deadlines.· Demonstrates integrity and reliability, adhering to company procurement policies, ethical sourcing standards, and confidentiality requirements.
