Job Title: Sales Admin – Real EstateJob Summary:The Operations Executive is responsible for managing and optimizing property listings across multiple platforms, ensuring data accuracy, supporting sales activities, and handling client communication channels. The role plays a key part in maintaining high-quality listings, generating leads, and supporting both sales and rental operations.Key Responsibilities:1. Advertising & Listings ManagementEnsure accuracy of all property listings across advertising platforms.Update unit prices within 2–5 working days of any changes.Verify and maintain accurate unit details including BUA, plot area, garden area, and number of bedrooms.Upload and manage high-quality images that reflect the actual unit and its main selling points.Create optimized ad titles highlighting key features such as location, view, and unique selling points.Prepare clear, complete, and accurate property descriptions.2. Platform ManagementManage listings on platforms such as Property Finder, Bayut/Dubizzle, Airbnb, Booking, and company website.Monitor ad performance and visibility, and take actions such as uploading new listings or upgrading existing ones.Ensure all listings are regularly reviewed and updated (bi-monthly for website listings).Handle daily rental listings, including availability and pricing updates.3. Lead Generation & Client CommunicationExecute daily WhatsApp campaigns (minimum 100 messages/day) to promote projects.Follow up with client responses and qualify leads.Conduct daily outbound calls (minimum 100 calls/day) for available inventory.Transfer qualified leads to the Sales Coordinator.4. Reporting & Performance TrackingPrepare before-and-after reports for campaigns and calling activities.Track and analyze results (e.g., interested, not interested, unreachable clients).5. Internal Coordination & SupportHandle requests from the Sales team and Management promptly.Coordinate with the Rental team to provide suitable unit options.Support smooth execution of sales and rental processes.6. Rental Operations (Seasonal)Source new rental units through owner outreach (e.g., Marassi).Collect and organize unit photos from property owners.Assist in categorizing and preparing units for rental listings.7. System Management & Data EntryUpload and manage unit data on internal systems.Review a minimum of 25 units daily for accuracy.Verify pricing, down payments, and all unit details.Upload, rename, and organize unit photos properly.Assign units to the correct sales agents.8. WhatsApp Group & Documentation ManagementMonitor internal WhatsApp groups for updates from sales agents.Ensure all required data is collected for PDF creation (e.g., payment plans, floor plans).Follow up on missing information with relevant stakeholders.Prepare and deliver PDFs within the same day.Ensure system data is fully updated before generating documents. Bachelor’s degree in Business Administration or related field.Experience in real estate operations or listing management is preferred.Strong attention to detail and organizational skills.Excellent communication and coordination abilities.Ability to handle multiple tasks and meet daily targets.
