Job Title: Executive Secretary / Administrative AssistantDepartment: AdministrationReports To: Managing Director / Administrative & Finance Director1. Job PurposeTo provide high-level administrative and organizational support to the executive management, ensure the smooth and efficient day-to-day operations of the office, and facilitate effective communication between departments, clients, and visitors.2. Key ResponsibilitiesOffice Management & Organization:Manage and coordinate daily calendars, schedules, appointments, and executive meetings.Welcome and greet clients, partners, and visitors professionally, ensuring a positive first impression.Maintain, organize, and archive physical and digital files, real estate contracts, and company documents.Monitor office supplies and handle basic administrative logistics.Communication & Correspondence:Handle incoming and outgoing phone calls, emails, and WhatsApp inquiries, routing them to the appropriate department.Draft, format, and edit official letters, emails, memos, and administrative reports in both Arabic and English.Internal Coordination:Act as a reliable liaison between the top management and other departments (Finance, Sales, Marketing, and HR).Follow up on internal requests, tasks, and office attendance schedules as directed by management.3. Job Requirements & QualificationsEducation & Experience:Bachelor’s degree in Business Administration, Languages, or a relevant field.Proven experience as a Secretary, Executive Assistant, or Office Manager (Experience in the Real Estate sector is preferred).Skills & Competencies:Proficiency in MS Office, specifically Excel (for tracking data/schedules) and Word (for drafting documents).Excellent verbal and written communication skills with a professional demeanor.Strong multitasking, organizational, and time-management abilities.Very good command of the English language (spoken and written).High level of discretion, trustworthiness, and strict adherence to confidentiality 0-2 years of experience
