Job Purpose: To manage and oversee all administrative services and facility operations, ensuring a well-maintained, safe, and efficient work environment while supporting employee experience and day-to-day operational needs. Job Responsibilities: Manages day-to-day facility operations, including maintenance, repairs, and service contracts to ensure a safe and functional work environment. Oversees building security systems, access control, and coordinates with security service providers. Supervises cleaning and housekeeping services to maintain cleanliness and hygiene standards across all company premises. Manages buffet and catering services, including vendor contracts and quality monitoring. Oversees indoor and outdoor landscaping to maintain a professional and welcoming environment. Manages courier and delivery services, ensuring timely and cost-effective operations. Handles car rental arrangements for employees and visitors, including vendor management and cost control. Manages hotel reservations for business travel, ensuring policy compliance and cost efficiency. Plans and executes employee engagement activities such as sports leagues, seasonal gifts, and workplace improvements. Monitors and controls administrative budgets, tracks expenses, and supports cost-saving initiatives. Manages vendor relationships, evaluates service quality, and negotiates contracts for all admin-related services. Maintains accurate records, reports, and trackers using Excel for all admin functions and activities. Bachelor’s degree in Business Administration, Facilities Management, or a related field. 4–7 years of experience in administration, facilities management, or a similar role. Excellent proficiency in Microsoft Excel for reporting, tracking, and data analysis. Strong vendor management, negotiation, and communication skills. Highly organized with the ability to manage multiple tasks and priorities simultaneously.
