Job SummaryThe Senior Proposals Coordinator is responsible for managing the end-to-end proposal development process, ensuring the timely preparation, coordination, and submission of high-quality technical and commercial proposals. The role works closely with engineering, project management, procurement, finance, and leadership teams to develop compelling proposals that align with GRFN's strategic objectives and client requirements.Key ResponsibilitiesLead the preparation, coordination, and submission of technical and commercial proposals, prequalification documents, and tender responses.Review tender documents, RFPs, RFQs, and client requirements to identify submission requirements, risks, and compliance obligations.Coordinate with engineering, sustainability, commercial, procurement, and project teams to gather required technical and commercial inputs.Develop proposal schedules and ensure all stakeholders meet internal deadlines to achieve timely submissions.Ensure all proposals comply with client requirements, company standards, and quality assurance procedures.Prepare executive summaries, company profiles, project references, methodologies, and other proposal content.Maintain and continuously improve proposal templates, bid libraries, CV databases, project experience records, and supporting documentation.Support bid/no-bid evaluations and contribute to proposal strategy development.Review and edit proposal content to ensure consistency, accuracy, professionalism, and alignment with GRFN branding.Track proposal opportunities, submission status, success rates, and key performance metrics.Mentor and support junior proposal coordinators and proposal team members.Coordinate post-submission clarifications, client communications, and lessons-learned reviews. QualificationsBachelor's degree in Engineering, Architecture, Business Administration, Marketing, or a related field.5–8 years of experience in proposal coordination, bid management, business development, or tendering.Experience within engineering consulting, sustainability, construction, or infrastructure sectors is preferred.Strong understanding of tendering and procurement processes.Skills & CompetenciesExcellent proposal writing and editing skills.Strong project coordination and stakeholder management abilities.Advanced proficiency in Microsoft Office Suite.Strong organizational and time-management skills.Ability to manage multiple deadlines simultaneously.Excellent attention to detail and quality control.Strong communication and presentation skills.Knowledge of CRM and proposal management systems is an advantage.
