For more information, visit us at www.amideast.org.Position DescriptionThe Exchange Program Specialist will support the Scholarship and Exchange Department in the administration of various grants and fee for service programs. S/he will provide scholarship assistance as well as conduct day-to-day activities within the department, most importantly certification service, and provide up-to-date information about the Egyptian educational system to institutional members and university representatives. S/he will also assist management in overseeing the implementation of all grant programs and handling program details while ensuring customer satisfaction. The Exchange Program Specialist may also support several different projects across departments based on business need.ResponsibilitiesTasks and responsibilities for this position include, but are not limited to, the following:Work with public and private academic institutions and organizations to distribute information about exchange programsAssist the Grants Portfolio Manager and Program Lead in the implementation of all grant programs and handling program details while ensuring customer satisfactionCollaborate in the development of new exchange program concept papers and proposals that serve Amideast’s mission, vision, and values for EgyptContribute in the department strategic planning, goal setting and annual budget preparation as requiredPrepare and submit accurate and timely technical, statistical, and financial reports to partners, donors, and to Amideast HQ budget for all exchange programs as requiredCoordinate with Amideast HQ, Amideast/Egypt-Alexandria, and other Amideast Field offices as neededReview applications for completeness and eligibility and facilitate application review to identify semifinalistsHandle logistics for pre-departure orientations on selected programsCommunicate and update the Exchange programs alumni databaseOrganizing alumni events with Exchange department staff and other required partiesProvide logistical support for the Study USA College FairRespond to inquiries from prospective exchanges programs participantsContribute to identifying, screening, and orienting participants about the various exchange programsArrange interviews of semifinalists and finalize interviews logisticsCommunicate regularly via email and telephone with the finalists to provide updated information about program contents and arrangementsPrepare and disseminate pre-departure briefing materials to finalists and follow up on the visa application process in a timely mannerMaintain department processes in an efficient and effective mannerCollaborate positively with other Amideast departments (education and Training, Testing, and Customer Service)Maintain active networks with local and international organizations and institutions involved in exchange programs and keep abreast of changes and developments in Egyptian public and private education to identify opportunities for AmideastProvide administrative and logistical support for exchange programs including making housing arrangements and other administrative tasks when neededRegister clients in the various in office information sessionsE-market for the Exchanges services among the exchange programs alumniConduct Online and In-person Outreach for Exchange Scholarship programQualificationsRequiredBachelor’s degree and minimum three years of experience in a relevant fieldExcellent written and oral English and Arabic communication skillsExcellent oral and written communication and interpersonal skillsExcellent Computer literacy in MS OfficeExcellent written and oral English and Arabic communication skillsAbility to organize and maintain large amount of detailed informationAbility to multi-task and prioritize responsibilitiesAbility to work independently with minimal supervision and accept responsibilityPreferredUndergraduate degree from a U.S. or Canadian universityProject Management Professional Certification (PMP)Previous experience/Knowledge in American Education SystemPost Graduate studiesTOEIC score of 750 or equivalentUp to 10% business travel may be needed to support work inside EgyptThe physical demands and work environment that have been described is representative of those an employee encounters while performing the essential functions of this position.
