Leadership is seeking a highly proactive Executive Assistant capable of helping manage day-to-day operations, communication, scheduling, and administrative coordination across the business.LocationFully Remote | 9 AM - 5 PM ESTRole OverviewThe Executive Assistant will serve as a key support partner to leadership, helping manage schedules, follow-ups, customer communication, operational coordination, and administrative workflows.This role requires someone highly organized, detail-oriented, proactive, and capable of staying on top of multiple moving pieces without constant oversight. The ideal candidate can anticipate needs, create structure, maintain organization, and help leadership operate more efficiently in a fast-paced environment.Key ResponsibilitiesExecutive & Administrative SupportManage calendars, scheduling, reminders, and meeting coordinationOrganize inboxes and assist with follow-ups and communication managementHelp prioritize tasks and maintain day-to-day organizationAssist with administrative support, documentation, and reportingOperations & CoordinationCoordinate schedules, appointments, and operational workflowsHelp track projects, timelines, and pending tasksCommunicate with customers, vendors, subcontractors, and internal teamsAssist with operational organization and process managementCRM & System ManagementMaintain accurate records within Odoo and internal systemsAssist with customer records, invoicing coordination, and workflow trackingHelp ensure operational systems remain organized and updatedCustomer CommunicationFollow up with customers regarding scheduling and project updatesMaintain professional communication and responsivenessHelp ensure customer interactions are organized and timelyQualificationsExperience2+ years of experience in executive assistance, administrative support, operations coordination, or similar rolesExperience supporting leadership in fast-paced business environments preferredExperience working inside CRM or ERP systems preferredSkillsStrong organizational and time management skillsExcellent written and verbal English communicationStrong attention to detail and follow-throughAbility to multitask and work independentlyProactive mindset with strong problem-solving abilitiesExperience using Odoo, Google Workspace, QuickBooks, CRM systems, and Slack preferredWhat Success Looks LikeLeadership becomes more organized and operationally efficientCalendars, communication, and follow-ups are consistently managedInternal workflows and systems remain organized and updatedCustomer communication becomes more streamlined and responsiveLeadership spends less time managing administrative bottlenecksOpportunityThis is an excellent opportunity to join a growing company and become a key operational support partner to leadership.
