Key Responsibilities & AccountabilitiesMaintain accurate and up-to-date records of warehouse inventory and fixed assets, including IT equipment, printing supplies, stationery, marketing materials, toner cartridges, and other company-owned items, ensuring proper tracking, control, and accountability.Ensure the proper receipt, storage, issuance, and tracking of inventory, materials, and supplies through manual records and/or inventory management systems, maintaining accuracy, traceability, and compliance with established procedures.Monitor warehouse stock levels and conduct regular inventory counts to ensure inventory accuracy and effective stock control. Maintain accurate and up-to-date records of all warehouse items, including IT equipment, printing materials, paper supplies, marketing materials, giveaways, consumables, toner cartridges, and other inventory items, ensuring proper tracking, accountability, and availability.Participate in the disposal process of obsolete, damaged, or retired fixed assets, including the coordination and administration of auction activities for write-off and scrap items, ensuring compliance with company policies and applicable regulations (sale of obsolete fixed assets).Prepare and submit purchase requisitions and non-procurement requests for materials, equipment, and services required by the department, ensuring timely processing and compliance with company procurement policies and approval procedures.Review and validate received quantities against supporting documents and purchase orders, and process vendor invoices for payment to ensure accuracy, completeness, and compliance with company policies.Track and evaluate material consumption patterns across business units via monthly stock inventory report, identifying opportunities to optimize inventory levels, reduce excess stock, and improve cost efficiency through effective inventory control practices.Coordinate closely with the Purchasing team to monitor order status and ensure the timely delivery of materials and services, proactively following up with vendors to prevent delays and mitigate potential supply disruptions.Administer warehouse key control records and oversee key issuance and handover processes for team members, ensuring compliance with security procedures and maintaining accurate documentation of key ownership and transfers.Ensure all warehouse and fixed asset management activities are properly documented through clear procedures, process maps, and guidelines, in collaboration with the Process Excellence team, to support consistency, compliance, and continuous improvement.Maintain a centralized and up-to-date repository of IT assets documentation, printed material designs, PDF files, specifications, and related records, ensuring proper version control, accessibility, and document retention in accordance with company standards.Track and analyze the annual consumption of printed materials, IT hardware, and related consumables to support demand planning, budget forecasting, inventory optimization, and cost control initiatives.Maintain effective control over fixed assets through timely registration, accurate record keeping, asset barcoding, and labeling, ensuring proper tracking, verification, and compliance with company asset management procedures.Ensure the physical security, organization, and proper maintenance of warehouse facilities, safeguard inventory and assets while maintaining a safe, clean, and efficient storage environment in compliance with company policies and safety standards.Proactively identify potential operational, inventory, asset management, or facility-related issues and implement corrective and preventive actions to mitigate risks, ensure business continuity, and maintain compliance with established procedures and standards.Support the execution of annual fixed asset physical counts across all company facilities, verifying asset existence, condition, location, and tagging accuracy, and assisting in the reconciliation of physical inventory results with asset records.Comply with company safety standards, operational procedures, and relevant regulations, ensuring the safe handling, storage, and movement of inventory and fixed assets while minimizing operational risk.Collaborate closely with the Finance team to ensure alignment between fixed asset management activities and financial planning, reporting, and accounting requirements. Investigate, reconcile, and resolve discrepancies between warehouse records, fixed asset registers, and financial records, ensuring the accuracy, completeness, and integrity of asset-related data.Monitor and track the department’s budget for assigned services and operational expenditures through monthly and annual budget reviews. Collaborate closely with the Warehouse Supervisor to support budget forecasting, planning, allocation, and expenditure control, ensuring effective utilization of resources and adherence to approved budgets.Familiar with using the Power App application.Collaborate closely with the IT team to identify, report, and follow up on system-related issues, enhancements, and user requirements related to Power Apps and other relevant systems, ensuring timely resolution and continuous improvement of system functionality and performance.Generate regular inventory, fixed assets, and reconciliation reports, while monitoring and reporting on operational KPIs to assess performance, identify trends, and support continuous improvement initiatives.Ensure complete, accurate, and well-organized documentation of all warehouse and fixed asset management activities, maintaining audit-ready records and supporting internal and external audits through timely provision of documentation, reconciliations, and compliance evidence.Support internal and external audits, compliance reviews, and risk management activities by providing accurate documentation, reports, reconciliations, and evidence of controls, ensuring adherence to company policies, regulatory requirements, and governance standards.Job SpecificationsEducation / Certifications:Bachelor's degree in business administration, logistics, supply chain, or a related field.1-3 years of relevant experience.Job Qualifications:Intermediate English language skills (written and oral).Advanced computer skills, particularly in Excel.Soft Skills & Behavioral Competencies:Strong communication skills.Proactive approach.Problem-solving skills.Excellent organizational and planning skills.Reliability and trustworthiness.
