Key ResponsibilitiesTravel & Flight Coordination:Act as the single point of contact between the Guest Relations Department and the contracted travel agency throughout the festival cycle.Receive, review, and process all guest travel requests forwarded by the Guest Relations team and communicate confirmed itineraries back in a timely manner. Coordinate inbound and outbound flight bookings, airport transfers, and visa support documentation for international and domestic guests. Maintain a live, updated master travel schedule for all assigned guests. Monitor flight statuses and proactively manage disruptions (delays, cancellations, rebookings) in coordination with the travel agency. Liaise daily with travel agency account managers to confirm bookings, manage amendments, and resolve discrepancies. Prepare and distribute daily travel briefings to the Director of Hospitality. Ensure all travel arrangements comply with festival budget guidelines and pre-approved vendor agreements.Maintain accurate records of all travel expenditures and reconcile invoices with the travel agency post-festival. Communicate confirmed room assignments and special requirements to hotel reservations teams in advance of guest arrivals. Coordinate early check-ins, late check-outs, room upgrades, and special amenity requests on behalf of the Guest Relations team. Track daily occupancy against the festival room block and flag discrepancies or over-bookings immediately. Handle escalated accommodation complaints and resolve issues in coordination with hotel management and the Director of Hospitality. Maintain a real-time accommodation tracker with guest names, room numbers, check-in/out dates, and special notes. Coordinate hotel billing arrangements and no-show policies ExperienceMinimum 5 years of experience in a travel agency environment — mandatory. Proven track record in both flight/ticketing operations and hotel reservations or group accommodation management. Experience handling corporate or VIP travel accounts, with exposure to high-profile clients or events. Background in MICE (Meetings, Incentives, Conferences, Exhibitions) or large-scale event travel coordination is highly desirable. Technical SkillsStrong working knowledge of GDS systems, specifically Amadeus — mandatory. Familiarity with hotel reservation systems (Opera or equivalent PMS) is a strong advantage. Proficient in MS Office, particularly Excel (for trackers and room blocks) and Outlook (for correspondence).
