Job PurposeThe Ordering & Inventory Specialist is responsible for managing end-to-end purchase ordering, inventory coordination, and demand planning activities for heavy equipment. The role serves as a critical link between Business Units, Caterpillar (CAT), Logistics, and Finance to ensure accurate order execution, timely delivery, system integrity, and effective Sales & Operations Planning (S&OP) processes.Key ResponsibilitiesPurchase Order & Supplier CoordinationCollaborate with Business Units to ensure purchase orders are accurate, complete, and aligned with approved demand plans.Manage end-to-end coordination with Caterpillar (CAT) for all order placements, including document control, order confirmations, and production scheduling.Monitor machine availability, readiness status, and supplier timelines to ensure smooth order execution.Ensure all purchase orders comply with agreed specifications, commercial terms, and internal approval requirements.Order Planning, Tracking & Logistics CoordinationPlan, monitor, and track purchase orders in coordination with suppliers and Logistics to ensure adherence to delivery timelines.Proactively follow up on shipment status, lead times, and delivery milestones, resolving delays or discrepancies when required.Support logistics operations related to imports, shipping documentation, and delivery scheduling.S&OP & Demand PlanningLead monthly Sales & Operations Planning (S&OP) cycles by collecting, validating, and consolidating demand forecasts from Business Units.Align demand plans with ordering schedules and inventory strategies to ensure product availability while optimizing inventory levels.Finance & Commercial SupportCoordinate with Finance and Logistics to ensure timely and accurate processing of payments related to purchase orders.Provide all required documentation and system updates to support the issuance of Commercial Invoices to Business Units.Ensure alignment and consistency between financial records, supplier documentation, and inventory data.Inventory Systems & Data ManagementMaintain accurate and up-to-date data within inventory systems, ensuring high standards of data integrity and reliability.Monitor inventory movements, system updates, and reporting to support operational and financial visibility.Qualifications & ExperienceBachelor’s degree in Supply Chain, Logistics ,Finance, Accounting, Business Administration, Economics,or a related field.2–3 years of experience years of experience in ordering, inventory management, or supply chain coordinationExperience with purchase order management, demand planning, and S&OP processesStrong coordination and analytical skills
