Position OverviewKhedive Law Firm is seeking a highly disciplined, discreet, and strategically minded Executive Personal Assistant to directly support the firm Managing Partner.This role is designed for an exceptional professional capable of managing executive operations, confidential communications, high-level scheduling, and cross-functional coordination within a fast-paced corporate legal environment.The Executive Personal Assistant will serve as the primary coordination point between the Managing Partner, senior lawyers, corporate clients, regulators, media representatives, vendors, and strategic partners.This is not a routine administrative position. It is a high-trust, executive-level role requiring precision, maturity, and strong judgment.Key Responsibilities1. Executive Calendar & Priority Management● Manage and optimize the Managing Partner’s daily and long-term calendar.● Prioritize engagements aligned with the firm’s strategic objectives.● Anticipate scheduling conflicts and resolve them proactively.● Prepare daily executive briefings summarizing meetings, priorities, and action items.2. Strategic Communications● Draft, review, and manage professional correspondence in Arabic and English.● Coordinate communication with corporate clients, regulators, partners, and external stakeholders.● Ensure tone and messaging align with the firm’s professional positioning.● Act as liaison with marketing and PR teams regarding thought leadership and public engagements.3. Client & VIP Coordination● Organize and prepare all materials required for high-level client meetings.● Maintain discretion in handling sensitive legal and financial information.● Ensure seamless coordination between the Managing Partner and key stakeholders.4. Partnership & Event Coordination● Arrange meetings with strategic partners,● Track follow-ups on strategic initiatives and agreements.● Assist in organizing workshops, conferences, executive briefings, and networking events.5. Vendor & Service Provider Coordination● Coordinate with external vendors including marketing agencies, IT providers, designers, event organizers, and consultants.● Monitor vendor deliverables, timelines, and service quality.● Ensure agreements, invoices, and payments are processed accurately and on time.● Maintain organized records of vendor contracts and service arrangements.6. Media & Public Engagement Support● Coordinate speaking engagements, interviews, and media interactions.● Prepare briefing documents and summaries before events.● Maintain organized records of media and public appearances.7. Confidential Documentation & Reporting● Maintain secure and organized executive files.● Prepare internal executive summaries and reports.● Support preparation of strategic documentation and award submissions.8. KPI & Executive Oversight Support● Track key performance indicators related to partnerships, retainers, and strategic initiatives.● Support CRM coordination and follow-up processes.● Prepare monthly executive overview reports.Qualifications & Requirements ● Bachelor’s degree (Law, Business Administration, International Relations, or related field preferred).● Minimum years of experience as an Executive Assistant or Personal Assistant to a senior executive.● Experience within a legal, financial, consulting, or corporate advisory environment is strongly preferred.● Excellent command of Arabic and English (minimum C1 proficiency) (written and spoken).● Strong professional drafting and communication skills.● Advanced proficiency in Microsoft Office and digital collaboration tools.● Preferred: Own car and valid driver’s license to facilitate flexible mobility and attendance at meetings and events.
