Job Purpose:Responsible for handling the student registration process through collecting and properly archiving the appropriate documents, creating records, analysing data, generating reports and supporting students in issuing official documents with designated authorities.Main Tasks and Responsibilities:Register courses for all students.Keep and update all the university’s students’ records according to their registration.Issues and maintains student records related to grades, registration data, transcripts, student files, students’ certificates, enrolment letters and associated audits.Processes the change of major requests, repairs, and reports.Implements course substitution, drop/add, and repeat requests for the students.Prepares a list of graduates with their ranks, such as honors, high honors, and highest honors.Conducts transfer of credits process for students as requested.Coordinates the leave of absence of the students with their advisor.Enforces hold status on the students for admission or financial purposes.Update students’ records after receiving grades every semester.Coordinates the issuance of student related official documents from related authorities and ensures securing all required approvals, like registering students in the Military Service.Processes students’ withdrawals from both courses and the university.Implements and enforces the university’s academic regulations and policies.Prepares, updates and maintains class lists.Records grades and changes as reported by the faculty.Prepares statistical lists to senior management (students on hold, registration statistics etc).Handles graduates’ affairs and graduation procedures, including graduation clearance, degree audit, and coordination of graduation requirements.Administers the creation and maintenance of academic/administrative records.Assures that all handled documents are archived properly and safely maintaining their integrity, completeness, security and ease of access.Handles daily office email traffic and ensure responding in a timely manner or redirecting to designated person.Maintains a high level of communication, collaboration, and a strong working relationship with all campus stakeholders dealing with Registrar Office. Education: Bachelor’s degree in Business Administration or any relevant field.Experience 1–3 years of experience in similar position preferably in RegistrarExperience in educational institutes/ universities are highly preferredSkills & Competencies: Understanding of technology applications related to records and data managementExperience with Excel and other Microsoft Office applications essential (Word, Excel, etc.); database SkillsExcellent oral, interpersonal, and written skills.Excellent Command of English.Problem-solving capability.Attentive to deadlines.Positive attitude and ability to plan and adapt to change.Ability to collaborate effectively with various departments and cross-functional teams.Very Good problem analysis and assessment, Judgment, problem-solving, and decision-making skillsExcellent planning, organising and time management skills.Knowledge of Administrative tasks & Data management procedures
