Job Description – Site AdminJob Title: Site AdminDepartment: Projects / Site OperationsLocation: Construction SiteReports To: Project Manager / Site Manager / Admin ManagerWorking Schedule: 26 working days / 7 days off, according to project requirementsJob SummaryThe Site Admin is responsible for handling all administrative, logistical, documentation, accommodation, transportation, permits, and site support activities. The role requires a trustworthy, flexible, organized, and proactive person who can work effectively in construction sites and tough working environments.Arrange and coordinate accommodation for site employees, including searching for suitable apartments, negotiating rental terms, following up on maintenance, utilities, and accommodation needs.Coordinate transportation and vehicles for employees, workers, visitors, equipment, and site teams.Follow up with drivers and arrange daily transportation schedules between accommodation, site, office, suppliers, and other locations.Prepare and maintain accurate timesheets for employees, workers, and site teams.Follow up on attendance, absences, overtime, leaves, and working days, and coordinate with HR when required.Coordinate entry and exit permits for employees, workers, visitors, vehicles, and equipment.Deal with site security, client representatives, authorities, suppliers, subcontractors, workers, and drivers to ensure smooth daily operations.Handle difficult or complicated personalities professionally and calmly.Follow up on equipment movement, usage, allocation, and availability at the site.Maintain accurate records for tools, equipment, materials, company assets, and custody items.Handle company custody, petty cash, site expenses, documents, or assets when required.Ensure proper documentation of all received and returned items, payments, receipts, and expenses.Support warehouse and inventory activities when needed, including stock counting, material tracking, receiving, issuing, and documentation.Prepare, organize, and maintain site documents, forms, reports, permits, records, correspondence, and filing systems.Use Microsoft Office and computer systems to prepare reports, trackers, timesheets, and documentation.Coordinate with HR, Admin, Finance, Procurement, Warehouse, and Project teams regarding site needs and employee requirements.Support the Project Manager and Site Manager with daily administrative tasks and urgent site requirements.Ensure all site administrative activities are accurate, organized, documented, and compliant with company procedures. Bachelor’s degree or suitable educational qualification.Previous experience as a Site Admin, Admin Officer, Project Admin, Camp Admin, Storekeeper/Admin, or similar role.Experience in construction sites, industrial projects, EPC projects, or tough working environments is highly preferred.Experience in accommodation coordination, transportation, permits, timesheets, documentation, and site administration.Experience in warehouses, stock control, inventory, or stocktaking is a plus.Good computer skills and ability to use Microsoft Office, especially Excel, Word, and Outlook.Driving license and ability to drive is a plus.Ability to work on a rotation schedule: 26 working days / 7 days off.Required Skills & CompetenciesStrong negotiation skills.Excellent coordination and follow-up skills.Honest, trustworthy, and responsible, especially when handling custody, petty cash, or company assets.Flexible personality and ability to adapt to changing site needs.Ability to learn quickly.Ability to deal with workers, drivers, authorities, suppliers, subcontractors, and difficult personalities.Strong documentation and reporting skills.Good communication and problem-solving skills.Ability to work under pressure.Ability to work in construction sites and tough environments.High level of commitment, accuracy, and confidentiality.
