Implement and maintain the required documentation system to ensure smooth tracking and monitoring of operations.Source and coordinate with required service providers in line with business needs and complete contracting procedures according to the delegated authority.Monitor all site-related expenses of various types, including apartment rentals, employee transportation rentals, and any other administrative expenses.Record and monitor all administrative expenses related to sites and departments, schedule payment due dates, and submit reports to the HR & Administration Manager.Supervise reception activities, manage the company hotline, organize visitor reception procedures, and ensure proper backup coverage when responsible personnel are absent.Supervise pantry and housekeeping operations at the head office while ensuring cost optimization and expense control.Prepare administrative budgets and submit weekly and periodic reports in accordance with company procedures and instructions.Manage mobile phone lines assigned to employees and prepare monthly cost allocation reports.Handle and resolve employees’ administrative issues at project sites, including accommodation, transportation requests, and medical cases.Execute administrative tasks requested by project management related to operational and site administration matters.Handle booking, settlement, and follow-up of approved travel requests and prepare the necessary financial reconciliations.Oversee maintenance of the company’s head office facilities and follow up on all related payments and obligations.Supervise company-owned and leased service vehicles and monitor their movements and utilization.Manage and execute all administrative requirements for departments and new projects, including office setup, work tools, accommodation arrangements, and related needs.Implement security plans for the head office and supervise monitoring of entrances and exits.Coordinate the opening and closing procedures of the head office to ensure employee attendance during official working hours.Provide recommendations and improvement initiatives to enhance administrative operations and processes.Submit periodic reports related to expenses, service provider evaluations, and other administrative matters to the direct manager. Bachelor’s degree in Business Administration or any related field.Minimum 5–8 years of experience in Administration or Office Administration.Previous experience in Construction or Contracting companies is a must.Good experience in handling administrative operations for head office and project sites.Ability to follow up administrative expenses, accommodation, transportation, and office arrangements.Good communication, negotiation, coordination, and reporting skills.Proficiency in Microsoft Office applications.Residents of Giza are highly preferred.
