Director Personal Assistant

Main Job Duties: Monitors and updates the calendar of the Director, providing business support and reminding him of his daily agenda Organizes the travel schedule and proceeds to its arrangements, i.e. ticketing, accommodation, visas etc., facilitating its execution Participates in departments office meetings keeping minutes and providing typed notes to all participants Follows-up on actions agreed on behalf of the Director, asking for clarifications in order to inform him accordingly Reviews all the reports prepared from the Director in terms of wording and formatting, as well as translates documentation when asked Handles all correspondence and communication on behalf of the Director and prepares emails, reports, memos, letters or presentation, using office technology and software applications, according to Director’s guidance and support Answers all phone calls on behalf of the Director, answering routine questions and asking reasoning for meeting request, including internal colleagues, and determines whether and when they should be given access Keeps record of all documentation, either hard or soft copies, and develops well organized data base, so as to be able to track records at all times Reviews all expenses invoices send to the Director to sign, ensuring their compliance with company’s policies and procedures, as well as prepares his/her expenses report Bachelor’s degree in any disciplineMinimum 5 years of hands-on experience as a Personal Assistant supporting managerial levelTechnical & Behavioral SkillsExcellent communication and interpersonal skillsOpen-minded, flexible, and adaptable personalityHigh level of professionalism, tact, and integrity in representing the companyAbility to work independently and demonstrate strong initiativeFluency in English (written and spoken); a second foreign language is a plusStrong PC literacy with excellent command of MS Office applications
