Reports to: Executive Director, Office of the PresidentRole Purpose:The job holder provides high-level administrative and operational support to the President and the executive director, ensuring the smooth and efficient functioning of the President’s office. The executive assistant manages a highly complex schedule, coordinates travel and serves as a key point of contact for internal and external stakeholders. This role requires proactive planning, prioritizing commitments, and relieving the President of administrative details.Core Responsibilities:Executive Support and Calendar Management:Manage and maintain the President’s complex calendar by proactively planning, coordinating, and prioritizing meetings, functions, travel, and commitmentsDevelop an annual schedule aligned with Board of Trustees meetings, leadership cycles, strategic planning and budget timelines, and the academic calendarAct as the primary scheduling contact, resolve conflicts, adjust priorities as needed, prepare briefing materials, and coordinate complex travel arrangements to support effective planning and execution of the President’s agendaCommunications Management:Coordinate the flow of incoming and outgoing communications by reviewing, routing, responding to correspondence, and determining appropriate internal or external stakeholdersCoordinate with the President’s senior writer on drafting correspondence, manage the President’s general email account, oversee “ALL AUC” communications under the direction of the executive director, and monitor AUC news for escalation and follow-upTravel and Logistics Coordination:Arrange efficient and cost-effective business and personal travel for the President and family, including itineraries, accommodations, transportation, travel documentation, and residency-related requirementsManage travel allowances and related administrative processesInformation and Records Management:Manage and maintain the President’s contacts database and filing systems, prepare official seasonal communications, track stakeholder interactions, and coordinate updates with the advancement team to ensure accurate and current recordsOffice and Event Coordination:Participate in the coordination of presidential functions hosted by the Office of the President, support Board of Trustees meetings, manage invitations and RSVPs, and follow up on assigned tasksAdditional Related Duties:Perform other related duties as assignedQualifications and Skills:Education and Experience: Bachelor’s degree in management, communications, or a related field is preferredMinimum of 10 years of total professional experience, including at least five years providing direct support to senior managers or executivesTechnical Skills: Planning and Coordination: Proven capability to plan, coordinate, and track complex schedules, activities, and logistics in alignment with institutional priorities and protocolsCommunication: Excellent written and interpersonal communication skills, with ability to advise key executives and handle sensitive situationsTechnical: Excellent skills in MS Word and ExcelSoft Skills: High level of discretion, tact, and diplomacy, with good knowledge of protocol and etiquetteWorking Conditions: Willingness to work extended hours when needed This position is open until May 25th, 2026Placement is based on the candidate’s experience and skills.
