Job Summary: The Operations Supervisor will be responsible for the recruitment, training and ongoing development of their team members to ensure all operational processes are performed efficiently and an excellent service is delivered to Consultants and patients at all times. The Operations Supervisor will report directly to the Assistant operations manager and work collaboratively with other Supervisors, Team leaders and staff to ensure change initiatives are fulfilled and service targets achieved at all timesJob Description:Manage and motivate a team of PAs and Admin Assistants to deliver an excellent level of service and support to their assigned Consultants. Supervise and coordinate the activities of staff in the daily operations of the Operations Centre.Communicate with their team, on a regular basis (including monthly performance reviews), to ensure everyone is familiar with their performance, goals and any required information or new initiatives.Hold monthly one to one meetings with the PAs / Team Leader to ensure they are meeting all targeted team and individual performance standards. Discuss performance information and suggestions for training or coaching to develop the skills and output of each PA/ TL.Ensure all operational processes are performed efficiently to meet team and departmental objectives. Monitor and analyze operational metrics to identify areas for improvement and action accordingly. Ensure any complaints are handled speedily and efficiently in line with company policy.Works on the reports provided by the Assistant Operations Manager to ensure effective collaboration with other departments, working collectively to fulfill the company's overall goals.Listen in to difficult calls and take escalation of queries when necessary, feeding back to Team leader and PA to offer advice on managing in the future.Handle consultant’s complaints to deliver a satisfactory resolution and prevent any similar issues occurring in the future.Responsible for recruitment and onboarding of new team members.Coach PAs / TLs to develop skills, output and general performance, including onboarding development for new team members.Onboarding of new consultants and ensuring all information is collected and making sure consultant profiles and insurance are on the systemEnsure all files and insurance companies are added to the system.Review quality and productivity reports monthly coming from their direct manager, share with each team member and plan required resourcing and coaching program for the following month.Organize quarterly reports on team leaders’ performance and share them with the operations/ training managers to plan for needed training.Undertake all other actions and activities as reasonably requested, or delegated, by Senior Management.Complying with the line manager in work-related tasks and instructions.Other duties within the job role as reasonably identified by the management team.Job Requirements:A bachelor's degree in a related field.Fluent English is A MUST.Proven work experience in the relevant department.Experience in supervising operational processes.Good working knowledge of operational procedures and policies.Excellent leadership and decision-making skills.Excellent Client facing & Internal Communication SkillsExcellent Computer skills, Advanced MS excel is requiredOrganizational and time-management skills.Working Days: Monday to Friday ( Saturday & Sunday off ).Working Hours: 11:00AM to 7:00PM.Work Location: Heliopolis, Cairo.
