The Operations Manager will manage the supervisors in each department and work to streamline processes, manage workloads, and ensure cross-functional collaboration, and operational excellence.Working with the management team, the position also contributes to the development and implementation of organizational strategies, policies and practices.Responsibilities:Improve the operational systems, processes, facilities and policies in support of organizations mission - specifically, support better management reporting, information flow and management, business process and organizational planningEnsuring that CSRs are responding to customers on a timely mannerEnsuring that all inbound shipments are received on timeEnsuring that all outbound shipments are sent to customers on timePlay a significant role in supporting long-term planning, including initiatives geared towards achieving operational excellenceFulfilling Free Zone Authority related requirements (where applicable i.e., UAE and NA)Ensure that the Finance department requests are resolved and communicated in a timely manner to internal and external partiesIncrease the effectiveness and efficiency by providing support services e.g., proFITs, Expedites, certifications etc., for other internal functions (CS, ES, Sales, and Quality)Handle internal employee complaints in cooperation with HRAssist annual financial audits with requested Sales order and Customer purchase ordersHandle customer key accounts and Export licensesBe the contact point between the corporate office and our Company and communicate any and all changes/news introduced from Swagelok corporateAssist in reviewing Project documentsProcessing ServiceNow and CAPS*Raising basic & Full service expeditesRaising Business Cases with Swagelok Corporate**Assisting the team in closing corrective actionsHandling complaint logsConducting direct reports performance reviews (mid-year, interim, and year-end)Drive accountability throughout the organizationSales support – responsible for providing support to Sales teams related to systems issues, pricing, customer service concerns, and other issuesResponsible for interviewing and hiring of operational department associatesResponsible for providing support to Quality team to help conduct audits and implement quality initiativesResponsible for managing the NOC log***Responsible for creating and/or supervising the creation of Business partners in SAP B1Responsible for creating and/or supervising Vendor registration**Making sure teams KPI’s are being met(*UAE only) (**UAE and NA only)(***UAE and KSA only) English fluency is a MUSTLogistics, Warehousing, Facility Management, Oil and Gas, Shipping experience is a MUSTSAP experience is a MUSTBachelor’s degreeManagement and/or significant supervisory experienceAbility to work independently and as part of a teamCustomer service focus with prompt response time to customer needsSuperbly skilled in verbal and written communication skillsStrong computer skills and prior experience with a CRM databaseExcellent organizational skills and attention to detailStrong analytical and problem-solving skillsAbility to act with integrity, professionalism, and confidentialityProficient with Proficient in Microsoft business applications (Word, Excel, PowerPoint, and Outlook)Work Schedule: This is a full-time position, typically working 40 hours per week 8 hours a day Sunday through Thursday. After the successful completion of the initial 90-day period or once the associate demonstrates the ability to work independently, there is flexibility to work remotely one day per week.Work Environment: This position operates in a professional office environment.Physical Requirements: This position is primarily sedentary and involves extensive use of computers. The associate must be able to sit for extended periods of time, focus on a computer screen, and perform repetitive tasks such as typing and data entry. Occasional walking, standing, or lifting of office materials (typically up to 10 lbs.) may be requiredTravel Requirements: Little to no travel is expected for this position.
