Job Description – Reception & Patient Coordinator• Welcomes patients and visitors by greeting patients and visitors in person and answering or referring inquiries professionally• Optimizes patient satisfaction, provider time, and treatment room utilization by scheduling appointments efficiently• Keeps patient appointments on schedule by notifying providers of patient arrival and reviewing service delivery compared to schedule• Confirms appointments daily with both doctors and patients to ensure smooth clinic workflow and minimize missed appointments• Responsible for daily appointment confirmation and follow-up with patients• Receives patients warmly and ensures a comfortable, friendly, and professional experience inside the clinic• Responds to social media inquiries and communicates professionally with potential and existing patients• Maintains excellent communication between doctors and patients regarding appointments and treatment plans• Comforts patients by anticipating patients’ anxieties and answering patients’ questions• Ensures availability of treatment information by filing and retrieving patient records• Maintains patient accounts by obtaining, recording, and updating personal and financial information• Obtains revenue by recording and updating financial information, recording and collecting patient charges, and handling claims when needed• Understands the diagnosis of each case and the treatment plan provided by doctors• Explains treatment plans to patients and handles objections or inquiries professionally• Helps patients in distress by responding to emergencies calmly and efficiently• Protects patients’ rights by maintaining confidentiality of personal and financial information• Responsible for revising daily appointments with financial issues• Responsible for patient satisfaction surveys and maintaining high service quality Professional attitude and appearancePresentable and well-groomed with a confident demeanorProven experience as a front desk representative, receptionist, or in a similar customer-facing roleProficient in English, both oral and writtenExcellent knowledge of Microsoft Office, particularly Excel and WordStrong communication and interpersonal skillsEffective organizational and multi-tasking abilitiesSolid problem-solving skills and ability to stay calm under pressureCustomer service-oriented with a focus on delivering a positive patient experience
