Job PurposeResponsible for providing comprehensive administrative and operational support to the Sales team by managing customer orders, coordinating with internal departments, maintaining accurate sales records, and ensuring seamless order fulfillment. The role plays a key part in enhancing customer satisfaction, supporting sales performance, and ensuring smooth day-to-day sales operations.Key ResponsibilitiesSales OperationsSupport the Sales team in processing customer orders from receipt to delivery.Prepare and process quotations, sales orders, and customer documentation.Monitor order status and ensure timely execution.Coordinate order fulfillment with Production, Planning, Warehouse, Logistics, and Finance teams.Ensure all customer requirements are accurately reflected in the sales orders.Customer CoordinationAct as the primary point of contact for customers regarding order status, delivery schedules, and documentation.Respond promptly to customer inquiries and follow up on pending requests.Build and maintain strong relationships with customers through professional communication.Order ManagementMonitor order progress and proactively resolve any delays or discrepancies.Track backorders and ensure timely customer communication.Coordinate product availability with inventory and planning teams.Ensure accurate pricing, quantities, and delivery information before order confirmation.Sales SupportMaintain and update customer records in the CRM and ERP systems.Prepare sales reports, customer analysis, and order tracking reports.Support the Sales Manager in preparing presentations, proposals, and business reports.Assist in coordinating sales meetings and customer visits.Documentation & ReportingMaintain accurate documentation for all sales transactions.Prepare daily, weekly, and monthly sales reports.Track KPIs such as:Open OrdersOrder Fulfillment RateOn-Time DeliverySales Pipeline StatusCustomer Response TimeCross-Functional CoordinationLiaise with Finance regarding invoices and payment status.Coordinate with Supply Chain and Warehouse to ensure product availability.Support Logistics in arranging timely deliveries.Continuous ImprovementIdentify opportunities to improve sales processes and customer service.Ensure compliance with company policies and operational procedures.QualificationsBachelor's degree in Business Administration, Commerce, Marketing, or a related field.Experience2–4 years of experience in Sales Coordination, Order Management, Customer Service, or Sales Support.Previous experience in manufacturing or industrial companies is highly preferred.Experience in B2B sales operations is an advantage.
