Position: Document Control Section Head About the Company:Legacy, a Hassan Allam Holding company, is responsible for operating the Grand Egyptian Museum.About the Job:We are seeking a Document Control Section Head with 12+ years of progressive experience in document management and contract administration to oversee projects documentation and safeguard our contractual interests.Key Responsibilities:Manage the complete flow and distribution of all incoming and outgoing documentation for the Contracts department, preventing any bottlenecks.Track and follow up on all contractual correspondence, coordinating closely with the Contracts team to guarantee responses and deliverables meet strict contractual deadlines.Systematically log, categorize, and archive all project agreements, subcontracts, and amendments across both physical repositories and digital Document Management Systems (DMS).Develop, manage, and continuously update all contractual registers and tracking logs (e.g., Agreements, correspondence, variation orders, commercial documents, and submittals).Accurately record, cross-reference, and archive all Purchase Orders (POs) alongside their complete supporting documentation to ensure commercial readiness.Implement and maintain strict version control for all contract documents to completely eliminate the risk of teams working from obsolete or superseded materials.Rapidly retrieve historical documentation and provide evidence-based support for the team during audits, claim preparation, or dispute resolution.Conduct regular internal audits of departmental documentation, filing systems, and logs to identify discrepancies, verify compliance with procedures, and improve process efficiency.Maintain strict confidentiality and data security protocols regarding sensitive contractual information, commercial terms, and agreements.Enforce strict quality control to guarantee all documentation adheres perfectly to formal legal/contractual requirements and required organizational standards.Qualifications:Education: Bachelor’s degree or equivalent.Experience: 12+ years of experience in document management and contract administration.Specialized Background: Direct, hands-on experience operating within a dedicated Legal, Commercial, or Contracts department is essential.Software Skills: Highly skilled in archiving software, the complete MS Office suite, and Adobe Acrobat.Languages: Good English communication skills (written and spoken) are required.Communication & Leadership: Exceptional communication skills with a proven ability to build trust, foster collaboration, and effectively engage with teams across the entire organization.Key Traits: Highly responsible, detail-oriented, and capable of exercising strong independent initiative.
