The Execution Specialist is responsible for coordinating and monitoring the execution of import and export operations from contract confirmation until final delivery. The role ensures smooth operational handling of shipments, accurate documentation, coordination with internal and external parties, and compliance with contractual, shipping, and regulatory requirements while maintaining operational efficiency and customer satisfaction.Shipment & Contract ExecutionCoordinate and monitor the execution of import and export shipments according to contractual agreements and operational timelines.Follow up on shipment schedules, loading operations, vessel nominations, and cargo movements.Ensure timely execution of contracts while maintaining compliance with agreed terms and conditions.Coordinate with suppliers, customers, shipping lines, freight forwarders, inspection companies, and ports to ensure smooth operations.Monitor shipment status and proactively address operational issues or delays.Documentation & CompliancePrepare, review, and verify shipping and export/import documentation including invoices, packing lists, bills of lading, certificates, permits, and customs-related documents.Ensure all documentation is accurate, complete, and submitted within required timelines.Maintain compliance with import/export regulations, company procedures, and contractual obligations.Coordinate with customs brokers and logistics providers to facilitate cargo clearance and delivery processes.Logistics & Operational CoordinationCoordinate transportation, warehousing, and logistics activities related to cargo handling and shipment execution.Communicate with internal departments including sales, finance, procurement, and logistics to ensure operational alignment.Monitor loading, discharge, and delivery operations to ensure efficiency and accuracy.Support inventory and cargo tracking activities when required.Reporting & RecordkeepingMaintain accurate records for contracts, shipment status, operational documents, and correspondence.Prepare operational reports, shipment updates, and execution summaries for management.Track operational costs and support verification of invoices and service charges.Ensure proper filing and archiving of execution-related documentation.Problem Solving & Customer SupportIdentify operational risks, shipment discrepancies, or documentation issues and support timely resolution.Handle operational inquiries and provide updates to customers and management.Support continuous improvement initiatives to enhance operational efficiency and service quality.
