Core Responsibilities:-Operational & Functional ExcellenceProvide a full range of administrative services within the MD office to ensure seamless operations.Maintain organized filing systems (physical and electronic) for documents, reports, and correspondence, ensuring easy retrieval and strict confidentiality.Draft, review, and route correspondence, ensuring timely responses to internal and external communications.Compile, format, and submit regular reports, presentations, and briefing notes for the MD as required.Follow all departmental policies, SOPs, and relevant instructions to ensure work consistency and quality.Schedule appointments, coordinate meetings, and manage travel arrangements for the MD.Consultants Coding, archiving documents for consultants. Collect roster registrars from all medical units People & CollaborationServe as a liaison between the MD and internal staff, external stakeholders, and suppliers, ensuring effective communication.Coordinate with other hospital departments for meeting arrangements, documentation requests, and follow-ups.Support cross-functional projects by assisting in communication, scheduling, and information management.Customer, Patient & Stakeholder FocusEnsure effective communication with stakeholders, both internal and external, on behalf of the MD.Assist in addressing and resolving stakeholder inquiries directed to the MD’s office efficiently.Compliance, Safety & Continuous ImprovementObserve strict confidentiality procedures for sensitive documents and communications.Register and track accountable documentation to ensure security and control. Bachelor’s degree at any discipline.1 to 3 years’ experience at administrative or secretary role in healthcare industry.Professional experience as a Medical Director or Hospital Director’s Medical Secretary.
