Job Summery The role is responsible for overseeing the end-to-end processing, coordination, and delivery of orders, ensuring timely and accurate fulfillment for customers, service operations, and internal inventory. This includes managing order processing, shipment handling, warehouse coordination, and Reman processes while maintaining high service standards and meeting established KPIs. The position requires strong collaboration with logistics, warehousing, and product support teams to ensure operational efficiency and customer satisfaction.Key ResponsibilitiesTake full accountability, responsibility, and ownership for delivering customer orders, service requirements, and internal inventory efficiently and accurately.Ensure all parts orders (ex-stock and backorders) and receipts—including inter-branch transfers (IBTs) and overseas shipments—are processed in a timely and accurate manner.Apply and maintain Parts Administration procedures to ensure optimal processing efficiency and continuous improvement of turnaround times.Communicate proactively with the Product Support team to provide regular updates on the status of counter, service, and inventory orders.Collaborate closely with logistics, warehousing teams, and parts administrators to ensure all operational processes are executed smoothly and accurately.Ensure shipments are created, processed, and dispatched on time in line with operational requirements and customer expectations.Accurately receive and record all incoming shipments in the system, ensuring proper documentation and inventory updates.Manage the REMAN core returns process in full compliance with company and Caterpillar (CAT) standards.Follow up and track REMAN and PRA credit notes from CAT to ensure timely reconciliation.Monitor and ensure prompt delivery of parts through warehouses in line with established KPIs and service level agreements.Identify process gaps and recommend improvements to enhance efficiency, accuracy, and service quality.Support continuous improvement initiatives and contribute to achieving departmental and organizational goals.Job RequirementsBachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field.1–2 years of experience in parts operations, logistics, warehouse coordination, or a similar role.Basic understanding of inventory management systems and order processing workflows.Good knowledge of supply chain, logistics, and warehousing operations is preferred.Strong organizational and time management skills with the ability to handle multiple tasks and meet deadlines.High attention to detail and accuracy in data entry and documentation.Strong communication skills with the ability to collaborate effectively across teams.Proficiency in Microsoft Office (especially Excel); experience with ERP systems is a plus.Problem-solving mindset with the ability to identify process gaps and suggest improvements.Ability to work under pressure in a fast-paced environment.Fluent in English (written and spoken).
