This individual will ensure smooth lease renewals, timely rent collection, and the effective handling of legal matters through strong attention to detail and a proactive approach. The role serves as the primary point of contact for tenants, attorneys, and courts, maintaining organized records and clear communication trails that support legal proceedings.Key responsibilities include:Immediate Court File Readiness:As soon as a legal file is opened, you must prepare the entire evidence folder immediatelyAll documents, proof of service, and lease copies must be organized and "court-ready" the moment the case starts—do not wait for the court dateProactive Lease Renewals:Monitor lease expirations dailyPrepare and send out renewal notices at least 5 months before the end date to ensure zero missed deadlinesStrict Rent Collection:Monitor building software dailyOn the 2nd of the month, send firm reminders via text and emailMaintain a clear "paper trail" of all communications for legal proofLegal & Bailiff Coordination:File cases with the court for non-payment or lease violationsManage the bailiff (huissier) process and keep a detailed log of what was sent and when it was servedVacancy Management:Maintain a real-time Google Sheet of vacant units and upcoming move-outsImmediately respond to tenants trying to break leases, making it clear they remain fully responsible for the contractRequirementsBilingualism: The candidate must be fluent in both English and French (mandatory for legal filings).
