Position OverviewThe Senior Document Controller manages all project documentation for construction and project management activities, ensuring accurate tracking, distribution, and compliance with JLL standards and client requirements.Key ResponsibilitiesDocument Management System AdministrationEstablish and maintain electronic and physical document management systemsConfigure document control platforms and create project-specific folder structuresMaintain comprehensive document registers tracking all correspondence, drawings, and specificationsEnsure system accessibility for authorized project stakeholdersDocument Processing and ControlProcess architectural drawings, engineering specifications, RFIs, submittals, and transmittalsAssign document numbers according to established coding systemsApply appropriate approval stamps and maintain version controlConduct quality checks for completeness, accuracy, and complianceDistribution and Communication ManagementDistribute documents to project teams, consultants, contractors, and clientsMaintain accurate distribution lists and issue transmittals with trackingConfirm receipt of critical documentsMaintain comprehensive audit trails of all document exchangesRecords Maintenance and ArchivingOrganize filing systems for active and archived project documentsFile documents systematically for easy retrievalManage retention schedules per contractual and legal requirementsPrepare project close-out packages including as-builts, O&M manuals, and warrantiesCompliance and Quality AssuranceEnsure compliance with ISO 9001 standards and JLL quality management systemsConduct regular audits of document control processesIdentify improvement areas and implement corrective actionsMaintain project-specific documentation requirementsTeam Coordination and TrainingCoordinate with project managers, engineers, architects, and contractorsProvide training on document control procedures and software systemsSupervise junior document controllers or administrative staffFacilitate communication between project stakeholdersReporting and AnalyticsPrepare regular reports on document status and outstanding submittalsTrack pending approvals and key metricsMaintain real-time dashboards for project management visibilityProvide analytics on document control activitiesRequired QualificationsEducation and ExperienceBachelor's degree in Engineering, Architecture, Construction Management, or related field5-7 years of document control experience in construction or project managementExperience with large-scale commercial, residential, or infrastructure projectsPrevious senior or lead document controller role preferredTechnical SkillsAdvanced proficiency in Aconex, Procore, SharePoint, or similar document management systemsStrong Microsoft Office Suite skills, particularly ExcelFamiliarity with AutoCAD or design software for drawing reviewUnderstanding of construction documentation including drawings and specificationsProfessional CompetenciesExceptional organizational skills with meticulous attention to detailStrong analytical abilities for document reviewExcellent written and verbal communication in EnglishArabic language proficiency advantageousTime management across multiple projectsProblem-solving skills for document-related issues
