Job SummaryThe Project Coordinator – Trade is responsible for coordinating project activities related to trading operations, ensuring projects are executed according to the approved scope, schedule, budget, and quality standards. The role supports project planning, documentation, procurement coordination, communication with internal departments, and customer follow-up to ensure the successful delivery of projects.Key ResponsibilitiesProject CoordinationCoordinate project activities from initiation to completion.Assist the Project Manager in planning, scheduling, and monitoring project progress.Track project milestones, deliverables, and deadlines.Prepare and maintain project documentation, reports, and records.Monitor project status and escalate potential risks or delays.Procurement & Logistics CoordinationCoordinate with the Procurement Department to ensure the timely purchase and delivery of materials.Follow up on supplier deliveries and material availability.Coordinate with the Warehouse regarding material requests and deliveries to project sites.Monitor inventory requirements related to assigned projects.Customer & Internal CommunicationAct as the communication link between clients, suppliers, and internal departments.Schedule project meetings and prepare meeting minutes.Follow up on client requests and ensure timely responses.Coordinate with Sales, Engineering, Procurement, Finance, and Warehouse teams.Documentation & ReportingPrepare project schedules and progress reports.Maintain project files and documentation.Track change requests, purchase orders, delivery notes, and invoices related to projects.Ensure all project documentation is complete and properly archived.Project MonitoringMonitor project timelines and identify potential delays.Assist in resolving coordination issues between departments.Ensure compliance with company procedures and project requirements.Support project closeout activities and final documentation.QualificationsBachelor's degree in business administration, Engineering, Supply Chain, or a related field.2–5 years of experience in project coordination, project administration, or trading operations.Experience in trading, construction, low current, MEP, or technology projects is preferred.Technical SkillsProficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).Strong knowledge of Microsoft Project or similar project management tools is preferred.Experience with ERP systems is an advantage.Ability to prepare reports and maintain project documentation.Good understanding of procurement and logistics processes.Soft SkillsStrong organizational and time management skills.Excellent communication and interpersonal skills.Ability to coordinate multiple projects simultaneously.Problem-solving and analytical thinking.Attention to detail.Ability to work under pressure and meet deadlines.Teamwork and collaboration.Working RelationshipsInternalProject ManagementSalesProcurementWarehouseFinanceEngineeringLogisticsExternalClientsSuppliersContractorsVendors
