The Executive Assistant to the Sector Head of The Strategic Ventures & Innovation, the one who is providing high-level administrative, operational, and project coordination support. The role ensures the smooth day-to-day functioning of the sector by managing executive priorities, coordinating cross-functional initiatives, following up on strategic and operational deliverables, and supporting internal processes including budgeting, procurement, recruitment, learning & development, and team logistics.ResponsibilitiesManage the Sector Head's calendar, appointments, and scheduling priorities.Coordinate internal and external meetings, workshops, and executive engagements.Prepare meeting agendas, presentations, minutes of meetings, and action trackers.Follow up on action items and ensure timely completion by relevant stakeholders.Screen and prioritize incoming requests and correspondence.Arrange business travel, accommodations, and executive logistics when required.Maintain confidential records, documents, and executive files.Coordinate cross-functional initiatives and strategic projects across the sector.Track project timelines, milestones, dependencies, and deliverables.Follow up with project owners to ensure timely execution.Maintain project trackers and provide regular progress updates to the Sector Head.Coordinate meetings related to ongoing initiatives and document key decisions.Support preparation of project status reports and executive dashboards.Follow up on financial documentation and approvals.Coordinate purchase requests, purchase orders, and vendor documentation.Track invoices and payment requests with Finance.Monitor budget utilization and maintain financial trackers.Ensure required documentation is complete and submitted on time.Coordinate procurement activities for the sector.Coordinate office operations and day-to-day administrative requirements.Liaise with IT regarding hardware, software, user access, and technical support requests.Coordinate warehouse and inventory requests where applicable.Arrange office supplies and operational requirements.Coordinate seating arrangements, office moves, and workspace readiness.Support event logistics, workshops, and internal meetings.Coordinate visitor management and meeting room arrangementsQualificationsBachelor's degree in business administration, Management, or a related field.3–6 years of experience in Executive Assistance, Office Management, Project Coordination, or Operations. Coordinate office operations and day-to-day administrative requirements.Liaise with IT regarding hardware, software, user access, and technical support requests.
