Job Purpose:The HR Generalist will manage day-to-day personnel operations and end-to-end payroll processing. This role requires a professional with a solid background in the retail sector who understands the complexities of high-turnover environments, variable shifts, commission structures, and retail labor law compliance.Key ResponsibilitiesPersonnel & Personnel Operations:Hiring Documentation: Manage the onboarding paperwork cycle (Form 1, criminal records, medical checks, and certificates) ensuring 100% compliance before store deployment.Contract Management: Track, renew, and terminate employee contracts for both head office and retail store staff (cashiers, sales associates, store managers).Labor Law Compliance: Serve as the primary point of contact for social insurance and labor office inspections, keeping employee files audit-ready.Attendance Tracking: Monitor and reconcile daily attendance, multi-shift rosters, overtime, and leaves (sick leave, casual leave) across retail branches.Offboarding: Handle the separation process, including Form 6 processing, final settlements, and exit documentation.2. Payroll Administration:End-to-End Payroll: Prepare and process the monthly payroll sheet for retail staff and head office, ensuring accuracy and timely disbursement.Retail Variables: Calculate and integrate retail-specific variables into payroll, including store commissions, monthly incentives, shift allowances, and deductions for penalties/shortages.Taxation & Deductions: Ensure accurate calculations of social insurance deductions, income taxes, and medical insurance deductions.Data Reconciliations: Resolve any payroll discrepancies directly with store managers and employees, maintaining high internal transparency.Job RequirementsExperience: 3 to 5 years of solid experience as an HR Generalist or Personnel & Payroll Specialist, with at least 2 years explicitly within the retail industry.Education: Bachelor’s degree in business administration, Human Resources, or any relevant field. An HR Diploma or Payroll certification is a strong plus.Technical Skills:Advanced proficiency in MS Excel (VLOOKUPs, Pivot Tables are essential for payroll sheets).Hands-on experience with HRIS/ERP systems (e.g., SAP, Oracle, Odoo, or industry-specific retail HR software).Knowledge Base: Deep understanding of local labor laws, social insurance regulations, and tax structures.Soft Skills: High confidentiality, strong numerical accuracy, ability to manage pressure during payroll cycles, and excellent communication skills to handle diverse retail staff profiles.
